Here's some things I did over the last 4 years since I took over a big count (100+ counters):
- Sign ups via Google Forms (exported to a Google Sheet)
- Took our old method (excel spreadsheet files) and moved it to Google Sheets, linking each "zone" sheet to a master sheet for auto-population of data (google "importrange Google Sheets" for some info on that method)
- Allowed participants to use eBird, and set up an eBird account for the CBC; then once all were submitted, exported an eBird report to a csv and brought that into Google Sheets, to populate a single "master eBird sheet" that, like other other sheets, fed into the main master sheet
- This year I moved email contact management over to Tinyletter, a free newsletter service (free for lists under 5,000 email addresses), so I no longer had to manage all those contacts I'd been accumulating
- Speaking of email, I made a gmail address just for the count -- since it was Gmail, it opened up the use of all the service above (except Tinyletter), but my thinking also was that this helps in handoff in the future -- when I'm done with the count, the next coordinator has everything they need
These allowed me to make some of the difficulties a bit easier to manage. Currently the most work is in doling out zone assignments.
